Agreements, Cancellation + Refund Policy
AGREEMENTS, TERMS, CONDITIONS:
In order for mutual care and safety to be present, Smugtown Mushrooms and its partner, Mycobotanica, desires to facilitate space that is focused and supportive for those in need of a space activated in a decolonial nature and antiracist at heart. This is a family friendly time and anyone conducting in unsafe ways that could hurt themselves or others and/or inhibit the progression of our trip will be asked to leave and no refunds will be given.
Smugtown Mushrooms or Mycobotanica welcomes everyone, with few exceptions. We do not tolerate hate speech and phobias towards our LBGTQIA2S+ family. We won’t tolerate racism, hate speech and harmful acts towards our Black, Indigenous and any and all peoples of color. We stand strongly against anti-semitism and simultaneously stand alongside our anti-zionist family. If you can’t be nice and act harmful in any way, you will be asked to leave, with no refund.
Medications, Drugs + Alcohol: We ask upon registration, if any medications are taken to be able to cater + hold space for those who need these medicines to exist. You are not legally required to share this information, however, we never share this info with anyone. On the event, that prescribed medications are being taken outside of their recommended use, dosage and shared with other attendees we will ask you to leave and you will not be refunded. Additionally, drinking in excess and drinking of alcohol that inhibits the natural flow of the seminar is not allowed. This is not a booze cruise, or party vacation, we are here to learn about nature and engage as respectfully as we can to local customs. If you are asked to “tone it down” once and continue to drink in excess that prevent others and the seminar from engaging in its natural state, you will be asked to leave with no refund and all rooms and rentals will be forfeited.
Upon registration for any offering, there is a full commitment and understanding of the class, cancellation policies, expectations of the registrant and our time spent together.
50% of the $800 deposit is nonrefundable upon cancellation, for administrative fees. After this deposit, registrant is required to pay in full no later than 70 days prior to the arrival date of the seminar to acquire Early Bird rate. Unless other terms have been agreed upon with guest and host.
All itineraries are tentative and subject to change.
We HIGHLY suggest purchasing travel and flight insurance /refundable/flexible flights, just in case.
COVID-19 TRAVEL WAIVER
As the worldwide COVID-19 corona-virus pandemic remains ongoing at this time, I acknowledge that for this reason, and other reasons not reasonably foreseeable at this time, these travel plans may be interrupted or canceled by the supplier that is providing forms, a government entity or other third party over which Olga Tzogas, Smugtown Mushrooms, Mycobotanica has no control. I further acknowledge that the supplier's own cancellation, re-booking and refund policies, subject to any applicable law that is now or may later be in effect, will govern my rights and remedies, including my right to receive a refund, in such an event. Moreover, I understand that should I elect to purchase travel insurance, the terms of the policy will dictate whether, and to what extent, coverage for any financial loss may exist under the circumstances. By signing below, I hereby agree to hold Olga Tzogas, Smugtown Mushrooms and Mycobotanica harmless and release the agency from any and all liability for any damages, including but not limited to monetary losses, I may incur as a result of such interruption or cancellation of these travel plans.
By signing this agreement, I acknowledge the contagious nature of COVID-19 and voluntarily assume the risk that I may be exposed to or infected by COVID-19 while traveling. Such exposure or infection may result in personal injury, illness, permanent disability, and possible death. I voluntarily agree to assume all of the foregoing risks and accept sole responsibility for any injury to myself (including, but not limited to, personal injury, disability, and death), illness, damage, loss, claim, liability, or expense, of any kind, that I may experience or incur in connection with Olga Tzogas and/or Mycobotanica and/or Smugtown Mushrooms.
As travel opens around the world, all destinations, airports, air carriers, hotels, restaurants, transfer companies, car rental companies, shops and excursions have established COVID-19 safety measures and precautions which may change from day to day. These safety measures may include, but are not limited to: curfews, attraction closings and reduced hours, size of group gatherings, social distancing requirements, health screenings, self-quarantine requirements, COVID test results, and possibly vaccinations. By signing this agreement, I accept ultimate responsibility for myself and my traveling party to have all the necessary provisions for travel (such as COVID test results, pre-travel questionnaires, vaccination cards etc.) Moreover, I understand that I should assume responsibility for the necessary documents (such as COVID test results, pre-travel questionnaires, vaccination cards etc.) considering COVID-19, in order to travel to my specific destination.
AGENCY –
Mycobotanica, SMUGTOWN MUSHROOMS and Olga Tzogas are acting as THE ORGANIZER and is not the direct source or supplier of the experiences in Greece. Smugtown Mushrooms works directly with suppliers in Greece, but is not responsible for any decisions or changes made by the suppliers. Traveler agrees not to hold Smugtown Mushrooms responsible should any of these suppliers: 1) fail to provide the travel services purchased; 2) fail to comply with any applicable law; or 3) engage in any negligent act or omission causing injury, damage, delay or inconvenience.
Mycobotanica/Smugtown Mushrooms is not responsible for, nor can it be held liable for, any injury, damage or loss suffered because of any conditions, actions or omissions that are beyond its reasonable control.
Travel to many parts of the world may involve exposure to a variety of health and/or safety hazards, including but not limited to disease, crime, terrorism and warfare. Mycobotanica/Smugtown Mushrooms is not responsible for advising travelers of whether they should travel to any particular place at any particular time. It is the traveler’s responsibility to stay informed by referring to objective third-party sources of travel information, such as that maintained by the U.S. Department of State (travel.state.gov).
PROOF OF IDENTITY –
The Transportation Security Administration (TSA) requires passengers to carry a government issued identification (ID) card in order to board a flight. The name, date of birth and gender that appears on the traveler’s ID card must exactly match the same such information that is listed on the airline ticket and in the booking records.
International travel requires travelers to have a valid US Passport book.
Travelers under the age of 18 not traveling with both parents may need additional special or legal documentation to travel.
It is the traveler’s responsibility to be aware of, obtain, and provide the proper documentation required for their trip. Failure to strictly comply with these requirements may result in denied boarding, undue delays, and/or fees resulting in additional cost to the traveler(s). Mycobotanica/Smugtown Mushrooms is not responsible for these fees and no refunds will be made.
Passport and visa information may be obtained by contacting the U.S. State Travel Advisory Department at (202) 647-5225 or by visiting the State Department's Web site at travel.state.gov. Non-U.S. passport holders should contact the embassies of their destination and transit countries to obtain entrance requirements. To obtain medical information, please contact the Centers for Disease Control at (404)332-4559 or visit the CDC's website at www.cdc.gov.
RATES & INCREASES –
All quoted rates are subject to change without notice until initial deposit or payment has been made.
Airline tickets, air tours and/or other products may be subject to supplemental price increases after the date of purchase due to additional costs imposed by a supplier or government agency. This may include, but is not limited to, increased fees, fuel surcharges, taxes, fluctuations in foreign exchange markets or any combination thereof.
Mycobotanica/Smugtown Mushrooms strongly suggests using a credit card for purchasing plane tickets in case of cancellation; it is much easier to reverse the charges than with a debit card.
TRAVEL INSURANCE –
Mycobotanica/Smugtown Mushrooms strongly recommends travel insurance be purchased for all travelers at the time of initial deposit to cover risks inherent in travel. Mycobotanica/Smugtown Mushrooms and their Advisors are not insurance experts and cannot guarantee the adequacy or extent of an insurance policy. Travelers are advised to read and become acquainted with policy documents and contact the insurer or broker for clarification or concerns.
Regardless of whether you choose to get travel insurance or not, you will need to fill out the waiver below. You can show proof of insurance to us and we can discard the document.
SMUGTOWN MUSHROOMS INSURANCE WAIVER (this and a more detailed contract will be sent to registrants if they chose to opt-out of travel insurance)
I am refusing travel insurance for my trip.
The risks for declining coverage have been explained to me by my Travel Advisor. I understand that declining travel insurance means I will lose all benefits of coverage and I fully accept that risk.
I am aware that my own medical insurance may not cover me outside of the United States.
PAYMENT AGREEMENT:
Registrant agrees to pay a $800 deposit to save their spot. 50% of this deposit is non-refundable. By registering and making a deposit you agree to these terms. After this deposit, registrant is required to pay in full no later than 70 days prior to the arrival date of the seminar to acquire Early Bird rate.
CANCELLATION + REFUND POLICY:
50% of deposit is held for admin fees when you cancel
121 days and earlier: 50% deposit refunded, 100% of registration refunded
120-91 days til departure: 25% of deposit refunded, 75% of registration refunded
90-61 days to departure: No refund on deposit, 50% of registration refunded
60-31 days to departure: no refunds on deposit, 25% of registration refunded
30 days or less to departure: no refunds on any payment towards registration of deposit

100% of the registration is required/pay in full no later than 70 days prior to the arrival date of the seminar to acquire Early Bird rate.
Sign ups and registration made within 70-36 days prior to the opening day of their seminar and are not considered Early Bird, a $400* charge will be added to the final invoice total.
Sign ups + Registrations made 35 days or less of the start date acquire an additional $800* charge to their invoice total
